Google User Data & Privacy Disclosures

MailStalk’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. This section describes how MailStalk accesses, uses, stores, shares, and deletes Google user data when you connect a Google or Gmail account.

Data Accessed

When you voluntarily connect a Google account to MailStalk, we may access the following Google user data, depending on the features you enable:

  • Gmail send access (gmail.send) — used to send email campaigns from your connected Gmail or Google Workspace mailbox on your behalf.
  • Gmail read-only access (gmail.readonly) — used only if you use optional email warmup features that require reading mailbox metadata or messages to support deliverability workflows.
  • Postmaster Tools read-only access (postmaster.readonly) — used only if you enable features that read domain reputation or deliverability signals from Google Postmaster Tools.
  • Google account identity — your connected Google email address and OAuth authorization data (such as granted scopes and token expiry) obtained during sign-in.
  • Operational send metadata — recipient addresses, campaign identifiers, send status, timestamps, and error codes related to emails sent through the connected account (we do not use Google data for unrelated profiling).

MailStalk only requests the Google scopes needed for the specific feature you choose to connect. We do not request access to your Google contacts, Drive, Calendar, or other Google services unless explicitly stated at the time of connection.

Data Usage

We use Google user data solely to provide and improve the MailStalk features you request:

  • To authenticate and maintain your connected Gmail or Google Workspace account.
  • To send campaign emails you compose and approve through MailStalk.
  • To enforce sending quotas, monitor account health, and display delivery status in your dashboard.
  • To support optional warmup and deliverability features when enabled.
  • To troubleshoot send failures, secure the service, and comply with applicable law.

We do not use Google user data for advertising, selling user lists, determining creditworthiness, or any purpose unrelated to providing MailStalk’s email marketing and deliverability services.

Data Sharing

MailStalk does not sell Google user data. We do not share Google user data with third parties except in the limited circumstances below:

  • Service providers — trusted hosting, database, and infrastructure vendors that process data on our behalf under confidentiality obligations, solely to operate MailStalk.
  • Google — when required to complete OAuth authorization and Gmail API operations you initiate.
  • Legal requirements — if disclosure is required by law, regulation, legal process, or to protect the rights, safety, and security of MailStalk, our users, or the public.

We do not allow third parties to use Google user data for their own independent marketing or unrelated purposes.

Data Storage & Protection

We apply reasonable technical and organizational measures to protect Google user data, including:

  • Encrypting OAuth access and refresh tokens at rest.
  • Transmitting data over HTTPS/TLS between your browser, MailStalk servers, and Google APIs.
  • Restricting access to connected-account data to authenticated account owners and authorized MailStalk personnel on a need-to-know basis.
  • Logging send activity only as needed for campaign reporting, quota management, and error diagnosis.

No method of transmission or storage is 100% secure; however, we work to maintain safeguards appropriate to the sensitivity of the data we handle.

Data Retention & Deletion

We retain Google user data only for as long as necessary to provide the connected features and meet legal or operational requirements:

  • While connected — OAuth tokens and account connection details are kept while your Google account remains linked to MailStalk.
  • After disconnect — when you disconnect a Google account in MailStalk (Connected Accounts or Email Warmup settings), we revoke the connection and delete or deactivate associated OAuth tokens and connection records within a reasonable period.
  • Send logs — campaign send logs may be retained for reporting and troubleshooting for a limited period, then deleted or anonymized according to our data retention practices.

You may request deletion of your Google-related data at any time by:

  • Disconnecting your Google account inside MailStalk, and/or
  • Emailing support@mailstalk.com with the subject line Google Data Deletion Request, including the connected Gmail address and your MailStalk account email.

We will process verified deletion requests within a reasonable timeframe, subject to any data we are required to retain by law.
